What are the IP addresses and ports that I need to open to allow access to Office Chat servers?

To allow access to Office Chat servers from behind your firewall:

  1. Allow HTTP, HTTPS and TCP access to these three hosts:
    • oc1.officechat.com ( 50.16.226.155 ) 
    • oc2.officechat.com ( 52.20.156.107 )
    • oc3.officechat.com ( 34.239.30.220 )
    • oclegacy.officechat.com (52.207.126.28)
  2. Allow outbound access to ports 80,  443, 5222 and 5223  on the above 3 hosts. 

If you have a BAA with us please instead use this host:  baa.officechat.com (34.230.227.50) with the same ports listed

How do I deactivate or activate a user?

Office Chat domain admin can deactivate a user from the network and reactivate him/her at anytime if needed. A deactivated user will have no access to your Office Chat domain. Prerequisites are to have Business or Enterprise Office Chat plan.

To deactivate a user:

  1. Login to your Office Chat domain from any web browser
  2. Click on the “Admin” tab on the top main menu (Admin Tab is accessible to domain admins only)
  3. On the Admin Portal, click on Users tab.
  4. Select the checkbox next to the users you want to deactivate.
  5. Click the “User Tools > Deactivate” menu item

To deactivate a user from the mobile or desktop/mac client:

  1. Select the user
  2. Go to the user’s info page
  3. Click the “Deactivate” button (Deactivate button is shown to domain admins only)

To reactivate a user:

  1. Login to your Office Chat domain from any web browser.
  2. Click on the “Admin” tab on the top main menu (Admin Tab is accessible to domain admins only).
  3. Click on Users tab.
  4. In the search filter select “Status = Deactivated” and click on Search button.
  5. Check the box next to their name.
  6. Click on the  “User Tools > Activate” menu item.

How to Deactivate From the Mobile Device

Go to your Co-workers list and Select the user that needs to be deactivated

Next from the message window tap on the 3 dot (lines) in the top right of the screen

Next tap on the Settings the Gear Icon below the user

The last step is to tap on deactivating and tap on Yes when Prompted. The user will now be deactivated and removed from your active list.

How do I change the group/team owner?

Currently, only an office chat network admin can change the group/team owner.

To change group/team owner:
  1. Login to your admin portal interface https://<domain_url>/
  2. Click on the “Teams” tab in the left navigation
  3. Select the team you want to change the owner of using the checkbox
  4. Click the “Actions Drop down > Transfer Owner Rights” menu item.

Note that the previous owner will remain as a team member.

How do I add or invite new users?

Anyone with an email address can be invited into your Office Chat network. You don’t need to exchange your personal phone numbers.

Option 1: Invite a new user by typing the email address in the “To List”

Click on the “Invite” menu item in any of the office chat clients. Enter valid email addresses to invite and click on send the invitation button. Invited users will receive an email with sign in instructions on how to login into your network

Click on “Invite” button on the top bar and then enter valid email addresses of the co-workers you wish to invite. Enter invitation message (optional) and click on the “Send Invites Now” button.

Option 2: To invite a new user by connecting with your Google, Outlook and phone contacts.

For Google contacts, enter your gmail account details on the screen which is shown after you click on “Connect with Google” button.

For Outlook contacts, click “Connect with Outlook” button in order to import the list of your Outlook contacts.

Does Office Chat support Active Directory / LDAP / SSO integration?

Yes, Office Chat domain admins can configure an active directory or LDAP server from the web admin interface.

What access do you need to integrate your active directory / LDAP server?
  • You will need to allow incoming access from the IP address: 50.16.226.155
  • You will need to allow incoming access to LDAP port 389 and secure LDAP port 636
What do the different configuration fields mean?
  • Server Type & Account/UPN Suffix:  You have a choice between “Active Directory” and “OpenLDAP” servers. Choosing “Active Directory” enables the additional “User Setting” section where you define the account suffix (UPN Suffix) that is configured for your AD.
  • Host Name & Port:  The LDAP server and port you are connecting to.
  • Base DN:  The base distinguished name of your LDAP used for the base search.
  • Administrator DN & Password:  User authentication for a user that has search capability and is able to perform all read-only directory operations.

How do I know who my network admin is?

The creator of the Office Chat domain is automatically designated as admin for the network, but there can be other admins. Use Office Chat Premium to search for members of your Office Chat domain that are Network Admins.

  1. If you have not yet signed up for Office Chat Premium, sign up.
  2. Sign in to Office Chat Premium.
  3. Click on the “Users” menu.
  4. Constrain the search results to “Network Admins Only”
  5. Click on the “Search” button.
  6. The search results will show at least one Network Admin denoted in the “Role” column

Can I disable 1-to-1 chat functionality?

Sorry, at this time you can’t disable 1-to-1 chat functionality in Office Chat.

What is included with Office Chat Premium?

Office Chat Premium goes beyond the user-only features of Office Chat Basic to allow:

  • Direct user administration such as adding or deactivating users, resetting user passwords, user usage analysis and user mobile access control.
  • Ability to delete conversations and delete messages.

The Home Page

The Home page is the landing page in Office Chat Premium. It is also a dashboard with sections for:

The Users Menu

The Users Menu shows different search tools to find users quickly. Users can be selected by the checkbox to the left of their name. Then, once selected, choices from the “User Tools” menu can be applied to each user including:

  • Sending invites
  • Resetting passwords
  • Changing email addresses
  • Activating or deactivating users
  • Granting or removing administrative priviledges
  • Viewing users’ mobile devices (unique IDs)

 

The Teams Menu

The Teams menu is a list of teams that have been created in your Office Chat domain. Each team can be viewed, exported, transferred to a new owner, renamed, archived or deleted.

 

The Devices Menu

A complete list of mobile devices that have connected with your Office Chat network. The ability to disable any device or wipe out the Office Chat data from any device on the next login attempt is available on the Mobile Device Management page.

 

The Analytics Menu

Custom analytic reports can be generated based on date range, teams, users or platforms.

 

The Integration Menu

The default setting for Office Chat authentication uses emails and a password that is maintained in Office Chat for authentication. Active Directory / LDAP authentication uses an existing AD server and provided connection specifics for authentication to Office Chat.

Users in your LDAP can be filtered out from using Office Chat based on the LDAP User Object Filter specified in Step 2 of the settings form.

Office Chat profile pictures and other user profile data can be controlled through the field mapping settings in Step 2 of the form.

 

The Billing Menu

The billing menu has 2 sections: Payment Details and Invoice Details.

The Payment Details section shows your credit card information and total payment price. Credit card details can be changed if you get an updated credit card.

Your invoices can be displayed from the Invoice Details section. There you can also customize your invoice with your company’s name and change the VAT number, the company address, and who receives a copy of the invoice through email.

Where can I get the iPhone and iPad apps?

From your iPhone / iPad device:
  1. Open the App Store app on your device.
  2. Search for “Office Chat” and select the first result.
  3. Click the “Free” button and then click “Install”.
From your computer:
  1. You can download the latest version of the Office Chat application for iOS from the App Store.
  2. Office Chat for other platforms can be downloaded from here.

 

 

What version of iOS does the iPhone and iPad apps require?

Office Chat iPhone and iPad requires minimum iOS 8.0 and above.
